Academy of
Open learning Policy
The Academy of Open Learning (AOL) recognises the right of learners and stakeholders to appeal against decisions made concerning assessment results, reasonable adjustments, special considerations, and cases of malpractice or maladministration.
Learners who wish to appeal must submit their request in writing or email at contact@aoledu.org within 14 days of receiving the decision. The appeal must include relevant evidence supporting their case. An independent review panel will evaluate the appeal and communicate a final decision within 30 days. If the appellant remains dissatisfied, they may escalate the issue to an external regulatory body. AOL ensures that all appeals are handled fairly, transparently, and confidentially.
The appeals process consists of the following steps:
- Initial Request: The learner submits an appeal in writing or email at contact@aoledu.org to the AOL appeals committee.
- Acknowledgement: AOL acknowledges receipt within five working days and assigns an independent officer to review the appeal.
- Investigation: A thorough investigation is conducted, which may include interviews, document reviews, and consultation with relevant stakeholders.
- Outcome Decision: The appeal decision is communicated in writing within 30 days.
- Escalation: If the learner is unsatisfied, they may escalate the appeal to an external body for further review.
AOL ensures transparency in appeals and maintains records of all cases for audit and continuous improvement.
AOL is committed to resolving complaints fairly, transparently, and efficiently. Any learner or stakeholder who has a grievance related to course delivery, assessment, or administrative processes can file a formal complaint.
The complaints process follows these steps:
- Submission: Complaints must be submitted in writing or email at contact@aoledu.org within 14 days of the incident, detailing the nature of the issue and any previous resolution attempts.
- Acknowledgement: Complaints are acknowledged within three working days.
- Investigation: An assigned officer investigates the matter, consulting relevant parties as needed.
- Resolution: A formal response, including any resolutions or further actions, is provided within 30 days.
- Appeal: If dissatisfied, the complainant may request an independent review.
AOL documents all complaints to identify trends and improve service quality.

Measures include:
- Risk assessments prior to events
- Implementation of safety protocols
- Ensuring third-party compliance with safety regulations
Processes are described below:
1. Risk Assessments Prior to Events
Frequency: Risk assessments are conducted for each event, ideally several weeks before the event date.
Scope: Assess all potential risks related to the venue, participants, activities, and equipment involved in the event.
Method:
Event Overview: Gather detailed information about the event, including the location, number of participants, activities planned, and any special requirements.
Risk Identification: Identify potential risks associated with the event, including but not limited to physical hazards, crowd control, equipment safety, and environmental factors.
Risk Evaluation: Assess the likelihood and severity of each identified risk. Prioritise risks based on their potential impact on participants, trainers, and event organisers.
Mitigation Strategies: Develop strategies to mitigate identified risks. This may include arranging for first aid services, hiring safety personnel, or ensuring proper equipment is used.
Documentation: Document all risks, mitigation measures, and any insurance or Takaful coverage requirements.
Review and Approval: Present the risk assessment and mitigation plan to relevant stakeholders for review and approval.
Continuous Monitoring: Monitor risks throughout the event and adjust mitigation strategies as necessary.
2. Implementation of Safety Protocols
Frequency: Safety protocols are implemented before, during, and after each event.
Scope: Ensure that all safety measures are in place and operational to protect participants, trainers, and staff.
Method:
Pre-event Briefing: Conduct a safety briefing with all event staff, trainers, and volunteers to ensure everyone understands their responsibilities regarding safety.
Safety Equipment: Ensure that all necessary safety equipment, such as first aid kits, fire extinguishers, emergency exits, and safety signage, are available and in good condition.
Venue Inspection: Perform a thorough inspection of the venue to ensure it complies with safety standards. Address any hazards before the event begins.
Emergency Plans: Develop and communicate emergency evacuation plans and procedures, including designated exits, assembly points, and emergency contacts.
Ongoing Monitoring: Assign safety officers or supervisors to monitor the event and ensure protocols are followed throughout the day.
Post-event Review: After the event, conduct a review of the safety measures in place, identifying areas for improvement for future events.
3. Ensuring Third-party Compliance with Safety Regulations
Frequency: Compliance checks should be performed during the event planning phase and periodically before and during events.
Scope: Ensure that all third-party suppliers, contractors, and partners adhere to safety regulations and policies.
Method:
Contract Review: Before entering into any agreements with third-party suppliers or contractors, ensure that their services comply with local and event-specific safety regulations.
Safety Requirements in Contracts: Include clear safety compliance clauses in contracts with third-party vendors, specifying that they must meet all safety standards and adhere to safety protocols during the event.
Pre-event Inspections: Verify that third-party suppliers (e.g., catering, security, technical staff) have adequate insurance or Takaful coverage, and that they have completed necessary safety checks or certifications.
Ongoing Monitoring: Assign staff to monitor third-party compliance with safety regulations during the event. Ensure that all third-party staff follow safety protocols and report any safety issues promptly.
Post-event Review: After the event, review the performance of third-party suppliers in terms of safety compliance. Identify any gaps in adherence to regulations and address them in future contracts.
AOL upholds ethical marketing practices. Marketing materials must be:
- Transparent and factual
- Non-deceptive and inclusive

Exceptional Circumstances: Refunds for medical or compassionate reasons require supporting documentation.
Non-Refundable Fees: Some administrative and material costs may be non-refundable.
All refund requests must be submitted in writing or email at contact@aoledu.org and will be processed within 30 days of approval.
AOL acknowledges that learners may have prior knowledge, skills, and competencies obtained through formal, informal, and experiential learning. The RPL process allows learners to gain recognition for prior learning and achieve exemptions where appropriate.
RPL applications require:
- Evidence submission: Documentation, portfolios, previous certifications, or work experience records.
- Assessment process: Evaluated by qualified assessors using defined criteria.
- Outcome determination: Credit granted where applicable or recommendations for further training.
AOL ensures that RPL is conducted with transparency, fairness, and consistency.
